Choose a verb that matches the measurement. Accounted for is useful for a share of a total. Averaged requires an average. Amounted to is natural for totals or quantities but should not replace was everywhere.

Fluctuated requires upward and downward movement. Peaked identifies the highest displayed point. Overtook requires one category to move from below another to above it.

Write “rose significantly” but “a significant rise.” Match the strength of the word to the data. A two-unit increase is not automatically dramatic.
Essential Grammar, Units and Calculations
From, to, by and at
- From introduces the starting value: rose from 20.
- To introduces the final value: rose to 35.
- By introduces the size of change: rose by 15.
- At introduces a level: remained stable at 35.
“The percentage rose from 20% to 35%” describes a rise of 15 percentage points. “It rose by 35%” means the new value is 35% larger than the original value and expresses a different calculation.
Percent versus percentage points
If a rate moves from 40% to 50%, the absolute difference is 10 percentage points. Relative to the original 40%, it is a 25% increase. When comparing displayed rates, percentage points usually communicate the gap most clearly.
Countable and uncountable nouns

- the amount of money, water, electricity or time;
- more/fewer students;
- more/less water;
- a higher/lower percentage, rate, price or figure.
Do not write “the number of electricity.” Use electricity consumption or the amount of electricity. Do not say “the people was higher”; say “the number of people was higher” or “there were more people.”
Respectively
Respectively pairs lists in the same order: “Northfield and Lakeside recorded 14 and 10 hours, respectively.” Keep the pairings short. A sentence matching six categories to six numbers is hard to follow.
Approximation
If the table provides exact values, report them accurately. You may still use approximation when summarising a relationship:
- approximately 40%;
- about 1.5 million;
- just over 200;
- slightly below 30;
- nearly twice as high;
- roughly a third of the total.
Tense
Use the past simple for completed past periods: “Sales rose in 2020.” Use the present simple to introduce the table or when no historical period is given: “The table compares five regions.” Use projection language for forecasts: “The figure is projected to reach 80 by 2040.” A forecast is not a confirmed result.

- Listing every cell. A complete transcription is not a selective summary.
